Library
Preset sets of statement items — a fee, disbursements, and adjustments — that your firm applies to a file matter in a couple of clicks instead of retyping the same recurring rows.
The Library is the Library tab under Templates (right of Order to Pay). Viewing it requires the View Library permission; creating, editing, and deleting sets requires Manage Library. Applying a set's items to a file uses the same permissions as the statement tab you apply them on — not the Library permissions.
How it's organised
- Sets are grouped by file type (Purchase, Sale, Mortgage, Order to Pay). A Purchase set can only be applied to Purchase files.
- Each file type can have many sets, and exactly one is marked the default. The default is the set pre-selected when you open the "From Library" picker on a file — you can still switch to another set.
- A set holds preset items for the statements its file type uses: a single Fee, any number of Disbursements / Other Charges, and Adjustments split into a section per statement.
- Fee and Disbursement items are added through a popup that mirrors the file's add form — GST/PST tick boxes auto-calculate, and each disbursement has an Amount (unit price) and Quantity; the effective line total is amount × quantity plus tax.
Adjustments and statements
Purchase files maintain Purchaser and Vendor adjustments together in a single Adjustment section, where each item's Credit/Debit accounts decide which statement it lands on. Other file types have In/Out and Order to Pay as separate sections with the funds / direction control appropriate to each — exactly like adding the adjustment by hand.
Because the two accounts decide which statements an item lands on, a cross-statement item (e.g. credit Purchaser / debit Vendor) appears in both the Purchaser and Vendor sections; editing or deleting it in either place changes the one underlying item. A live "Shows on" hint tells you where each item will appear.
Applying a set to a file
- 1Open a file matter and go to the relevant tab — e.g. Accounts → Disbursement/Other Charges, or an Adjustment sub-tab.
- 2In the Add New dialog, switch to From Library.
- 3Pick a set (the file type's default is pre-selected). The dialog previews the set's items for that statement — the disbursements on the Disbursements tab, or the adjustments that touch that sub-tab's statement.
- 4Edit amounts or descriptions inline, un-check anything you don't want, then OK & Apply. The rows are created on the file in one atomic step.
Things to know
- An adjustment that spans two statements (say Purchaser and Vendor) is offered from both sub-tabs, and the preview flags the sibling statement it will also appear on. Applying it once creates the item with all its statement lines — don't add it again from the other tab.
- A file matter holds only one Fee. Applying a Library fee over an existing one shows a replacement warning and, if you continue, overwrites the current Fee.
- Applying copies the values onto the file; later edits to the Library set don't retro-update files you already applied it to.
