Templates

Reusable presets your firm applies inside file matters. One library, three template kinds — Document, Mortgage, and Order-to-Pay.

Templates live at Settings → Templates. The page is tabbed; each tab is gated by its own permission so you can scope who manages what.

Document templates

A Word (.docx) document with placeholders that get filled in from the file matter. Used for Statements of Account, mortgage retainers, cover letters, and anything else your firm produces in volume.

  • Upload a .docx with placeholders like {{client.fullName}} — Triconvey extracts them automatically.
  • Map each placeholder to a file-matter field via the field-picker. Placeholders without a mapping render blank.
  • Group templates into Packages so generating one file produces a whole bundle (e.g. all closing documents at once).

Mortgage templates

Lender-level boilerplate for mortgage Form A header + Form B provisions. A template captures the parts that repeat across deals — the lender name, prescribed standard terms, mode dropdowns — so a new file just needs the deal-specific values.

  • Form A header: rank of mortgage, lender name, and (optional) signed/registered dates and reference numbers.
  • Form B Payment Provisions (Line 5): 5(a) Principal → 5(l) Balance Due Date, with the value cell + mode dropdown (As Entered / N/A / Blank / See Schedule / On Demand) for each.
  • Form B Interest Mortgaged (Line 6): floating charge, current/running account, fee simple, other interest specify.
  • Form B Mortgage Terms (Line 9): term type (Prescribed / Filed / Express) plus the DF Number when filed.
  • Additional Terms & Prior Encumbrances (Lines 10–11): free-form value + mode pairs.

Apply a template to a file

  1. 1Open the file matter and go to the Mortgage tab.
  2. 2Use the Apply from Library picker at the top — searchable by template name.
  3. 3Form A and Form B both hydrate from the template. Fill in the deal-specific values (amount, dates, etc.) and save.

Order-to-Pay templates

Reusable rows for the mortgage Order-to-Pay deduction list. Each template stores name, description, default amount, and who deducts (Notary/Lawyer or Lender).

  • Common deductions like "Property tax adjustment" or "Title insurance premium" live here once and apply across every file.
  • Apply via the picker on the Order-to-Pay row inside a file matter — name, description, amount, and deducted-by hydrate automatically.
  • Editing a template doesn't retro-update files that already used it; only future picks see the change.

Template scoping

All templates are scoped to the firm — every member of the same Business Account sees the same library. There's no per-user template namespace; if your firm has two ways of doing the same thing, save them as two named templates instead.
